Submissions

Submissions in DataGuard CPM are the audit trail for changes made to a Citizen’s Preference State. While it is not legally required to audit preference changes, doing so can greatly enhance transparency and accountability within your organisation.

What Are Submissions?

  • Audit Trail for Preferences: Submissions record every change made to a Citizen’s Preference State. Each time a Citizen updates their preferences—such as selecting their topics of interest or changing their communication frequency—a Submission is created. This ensures that there is a clear, traceable history of all preference changes.

  • Transparency: Although it is not a legal requirement to audit preference changes, maintaining an audit trail through Submissions can help improve transparency. This practice allows you to demonstrate to Citizens and regulators that your organisation is committed to respecting and accurately managing user preferences.

  • Immutability: Submissions are immutable, meaning once they are created, they cannot be altered or deleted. This immutability ensures the integrity of the audit trail. Unlike Transactions, Submissions cannot be reversed once recorded.

Accessing Submissions

  • API Access Only: Currently, Submissions can only be accessed via the API. This allows for programmatic retrieval and analysis of preference change histories, enabling integrations with other systems or detailed auditing when necessary.

Summary

Submissions provide a robust mechanism for auditing changes to a Citizen’s Preference State within DataGuard CPM. While not legally mandated, the use of Submissions can significantly enhance the transparency of your preference management processes. With their immutable nature, Submissions ensure that every change is recorded and preserved, offering a reliable history of how preferences have evolved over time.
